Privacy Policy

1. Who We Are

UniBuzz is a verified networking platform for university communities, based in Waterloo, Ontario, Canada. We help students and alumni build real connections through matching, mentorship, referrals, and community features. For anything in this policy, contact privacy@unibuzz.ai.

2. Information We Collect

• What you provide: your name, email, password, and profile details - department, graduation year, skills, headline, bio, photo, resume, career history, and any links you choose to add. Optionally, a phone number, an alternate or recovery email address, a username, and your birthday (month and day) if you choose to share it.
• Collected automatically: technical and usage data such as IP address, browser and device information, and feature usage - used to keep the platform working and secure. Sign-in sessions record the device and approximate location so you can review and sign out your devices from Settings.
• From your institution: information used to verify that you belong to your university's community (such as enrollment or graduation records).

3. How We Use Your Information

• To run your account, profile, messaging, and connections.
• To match you with relevant mentors, peers, referrers, jobs, and events. Matching analyses your profile (skills, goals, department) to find people and opportunities near you in interest and experience.
• The "Allow AI Analysis" setting controls whether we generate written introductions about you. Turning it off stops those; your profile is still used for the matching described above, which is what makes Discover and recommendations work.
• To keep the platform safe: security, fraud prevention, and abuse detection.
• To send you notifications you can turn off in Settings.
• To produce aggregate, privacy-protected statistics (never your individual activity) that help improve the platform and support your community. You can opt out in Settings > Data privacy.

4. Sharing

We do not sell your personal data and we do not share it with advertisers. Your profile is visible only inside your university's community, subject to the visibility controls you set. We use a small number of service providers (such as hosting, email delivery, AI processing, and - for paid features - payment processing) strictly to operate the platform. When you pay, our payment processors (such as Stripe) receive the details needed to complete the transaction; we never receive or store your full card number. We may disclose personal data to authorities only when legally required to do so.

Where your data is processed. We host and store your data in Canada. Some of the providers we rely on to operate the platform — email delivery, AI processing, error monitoring, mobile push delivery and, for paid features, payment processing — operate outside Canada, primarily in the United States, so some of your personal information is processed there. While it is in another country it is subject to that country's laws and may be accessible to its courts, law enforcement and national security authorities under a lawful order. We remain accountable for your information when we transfer it to a provider, and we require each of them by contract to protect it and to use it only to deliver the service to us. A current list of these providers is available on request from privacy@unibuzz.ai.

5. Data Retention

We keep your data while your account exists. If you delete your account, your personal data is anonymized within 30 days; rolling backups clear within a further 30 days. Records we are legally required to keep (such as security audit logs) are retained for as long as the law requires.

6. Your Rights

You can access and correct your data from your profile, export a complete copy of your data from Settings, and delete your account at any time from Settings. For anything you can't do in-product, email privacy@unibuzz.ai and we'll help.

Under Canadian privacy law you have the right to ask what personal information we hold about you, to have it corrected, and to withdraw consent (subject to legal and contractual limits - withdrawing consent to core processing generally means closing your account). If you are not satisfied with how we have handled a privacy question, you may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca. If you are in Quebec, Alberta or British Columbia, your province's own privacy regulator may also apply.

7. Security

All traffic is encrypted in transit; passwords are stored only as salted hashes; each university community's data is strictly isolated; and two-factor authentication is available on every account. No system is perfectly secure, but protecting your data is a design requirement here, not an afterthought.

8. Children

UniBuzz is for university communities. You must be at least 16 years old (13 in the United States) to use the platform.

9. Changes

If we make material changes to this policy, we'll notify you by email or in-product notice before they take effect.
